Notes and Technical Info (General Requirements)
Waters AV Productions supports a wide range of events, from worship services and private parties to corporate meetings, conferences, and live music. Technical requirements vary by scope, but the items below help ensure a clean, professional setup and a smooth show.
Pre-Event Information (Advance)
To confirm an accurate plan, we typically request the following in advance:
Event schedule and run of show (including soundcheck, rehearsal, and doors time)
Venue address, load-in instructions, and venue contact on-site
Stage plot and input list (for bands and worship teams)
Any venue restrictions (rigging, volume limits, fire marshal rules, union labor, house AV requirements)
Venue Access and Logistics
Load-in access: ground-level access preferred, or freight elevator if applicable
Parking: close access for load-in, plus parking for crew vehicles
Minimum setup time varies by scope (simple operator support vs full production). Earlier access helps avoid rushed setups.
Secure storage (if available) is helpful for multi-segment events
Power Requirements
Power needs depend on the production package.
Small operator support (house system provided): standard 120V outlet access at FOH and stage
Full production support: dedicated 120V circuits for audio, video, and lighting whenever possible
Larger production: may require dedicated power distribution (including 20A circuits or higher capacity service). We coordinate with venue engineering when needed.
Client should confirm power availability near the performance/stage area and FOH mix position
For outdoor events or uncertain power, generator rental may be required
Audio Requirements
A designated FOH mixing position with clear line-of-sight to the stage and audience is strongly preferred
Stage power and cable paths available for microphones, monitors, and playback needs
Wireless microphones: we require time to coordinate frequencies and check for RF interference
For bands and worship teams: stage plot and input list recommended to ensure correct channel count and monitor requirements
If the venue provides an in-house audio system, we can operate it, optimize gain structure, and improve clarity, but we may recommend upgrades if the system is underpowered for the room
Lighting Requirements (When Included)
Lighting needs depend on event goals (basic wash vs dynamic concert looks).
Adequate power near lighting positions
Clear floor space for lighting stands or truss bases if used
Ceiling height and rigging rules provided by the venue if overhead rigging is desired
Any haze or atmospheric effects must be approved by the venue and fire marshal
Video and Presentation Requirements (When Included)
For meetings and conferences, we can support projectors, screens, LED walls, and switching.
Clear information on screen size, placement, and audience sightlines
Throw distances and mounting options (front projection, rear projection, flown, or ground-supported)
Presenter needs: laptops, clickers, confidence monitors, IMAG, and content playback
Content delivery: we prefer receiving slide decks and videos in advance for testing and formatting
Livestream and Recording (When Included)
If livestream support is requested, we need:
A stable internet connection (hardline preferred). A dedicated network or VLAN is ideal for larger events.
Access to the streaming destination (YouTube, Facebook, Vimeo, etc.) and required credentials or stream key provided by the client
Clear decision on whether the stream needs a dedicated audio mix (recommended when possible)
Staging and Scenic (When Included)
Stage dimensions, height, and access points confirmed in advance
Load rating and any restrictions for staging or platforms
Drape, pipe and base, or scenic elements require adequate footprint and safe egress paths
Outdoor Events
Outdoor events require additional planning for safety and equipment protection:
Cover overhead for audio and electrical gear is required (tent, canopy, or covered stage)
Weather policy is required for rain, high wind, or unsafe conditions
Power must be confirmed, or generator power must be arranged
Ground conditions should support stands, staging, and safe cable runs
Safety and Site Standards
Clear pathways for audience and emergency exits
Cable management (ramps or taping) for public walkways
A safe, stable environment for equipment and crew operations
