What to expect

-Prior to Show Day-
Consultation & Booking Confirmation
An initial planning session to align on the vision, audience, venue type (indoor/outdoor), and performance goals.
Detailed contract issued covering performance time, insurance requirements, safety protocols, and cancellation policy.
Deposit processed and booking secured.
Performer Requirements Shared
Client receives a comprehensive technical and safety rider, including:
Fire safety protocols and required clearances
Rigging specs and ceiling height requirements for aerial acts
Site inspection or approval for fire usage
Necessary permits or fire marshal notifications (Planner may assist)
Dressing area, fuel storage, ventilation needs
Sound system, lighting needs, and set list or cue sheet
Arrival/setup timeframes and strike/load-out schedule

-Venue & Vendor Coordination-
Planner works with venue and vendors to ensure:
Aerial rigging is feasible and rig points are approved by a structural engineer (if applicable)
Fire performance space is secure, cleared, and within regulation
Fire extinguishers and safety spotters are in place per performer’s safety plan
Audio/visual teams are briefed on cues and lighting needs
Insurance & Compliance Support
Certificate of insurance (COI) provided by the performer (typically with client and venue named as additional insured).
Permit guidance if fire performance requires municipal clearance.
Run-of-Show Finalization
Performer’s slot(s) integrated into the full event schedule
Timing for aerial rig setup and fire safety checks built into the agenda
Contingency plans discussed for weather (if outdoor performance)

-On Show Day-
Arrival & Setup Coordination
Performer arrives early for rigging installation, fire-safe area setup, and rehearsals as needed
Planner confirms all safety protocols are in place (extinguishers, barriers, spotters, etc.)
Final venue walkthrough with performer and venue rep to approve fire/aerial readiness
Pre-Show Briefing
Technical rehearsal (if scheduled)
Walkthrough of timing, cues, music, and lighting with AV team and client
Final check with performer’s safety crew (if fire spotters or riggers are provided by performer)
Performance Execution
Planner manages show flow and timing, cues performer and technical crew
Aerialist and fire performer deliver their acts seamlessly
Fire safety maintained throughout performance; crowd managed appropriately

-Post-Performance & Strike-
Planner ensures proper strike of aerial rig and fire props
Fuel containers secured and removed by performer
Debrief with client and performer
Final payment (if applicable), thank-you follow-up, and optional recap or media files provided

About

Kaytlyn has been a fire performer, instructor, and choreographer for almost a decade. Over the years, she's performed at countless weddings, music festivals, and other events. Her dedication to the performing arts has led her to learn a variety of skills, from acrobatics to dance and the aerial arts.

She co-leads two other performing groups with which has produced multiple successful shows. With all her years as a performer, she also has a huge network of artists to work with to fit all of your needs.
