Scope of Work
Events generally have lots of moving pieces and vendors involved. It can be complicated to keep
track of who is responsible for what, and what everyone needs to be successful. This section
allows us to establish a clear scope of work for Frothy Bottom so there is no confusion or
miscommunication of expectations and so we can guarantee a successful working relationship
together.
Alcohol Consumption Policy
Frothy Bottom requires that all alcohol present at an event be served from our bars and by our
bartenders. Any guest may bring their own alcohol, but it must be served by a Frothy Bottom licensed bartender. If alcohol is consumed at an event that is not served by one of our bartenders,
Frothy Bottom’s liquor liability insurance is waived for that event and the host becomes directly liable
for resulting incidents.
Frothy Bottom bartenders will not serve shots, or anything resembling a shot (ie: beverages “neat”).
Spirits may be served “on the rocks.”
Beverage Service Start and Stop Time
Frothy Bottom practices a hard open and a hard close as per contracted beverage service times.
This means that the bar will not serve any alcohol before the contracted start time, and will close
promptly at the contracted end time. Please consider this if you'd like members of
your party (ie: groomsmen/ early arriving guests) to be served before the official start time of your
event.
This policy is in place for several reasons: venues often require it, allows us to order and staff
appropriately, and it allows our staff un-interrupted time to efficiently and promptly set-up the bar
without interruption in the limited set-up time allotted so that we can be ready for service at the
contracted time.
Beverage service times are eligible to be adjusted up to 48 hours before the event date and must
be adjusted in the contract. Any contract revisions must be digitally accepted by the host/s so that
necessary adjustments can be made by Frothy Bottom to staffing and product ordering/provisions.
It is the host's responsibility to ensure the start and stop times comply with any venue mandated
requirements.
If a host decides during the event to prolong the bar service beyond that of the contracted times, it
will be at the discretion of the bartender as to whether or not they can accommodate the request.
Additional hours will be billed at a rate of $200 an hour, a minimum of one hour, and without
proration.
Trash & Trash Removal Policy
The host is responsible for ensuring trash removal services for their event. Frothy Bottom is a bar
service company and does not have the facilities to haul away or dispose of event trash. Bar
Magnolia will not remove trash from the event site but will work with the host to ensure we place all trash
securely and neatly in the agreed upon location post-event.
Frothy Bottom will ensure bar trash is placed in the
agreed-upon location, but will not carry it offsite.
Water
Frothy Bottom will provide 2 8 oz bottles of water per guest in all our bar packages. Additional
bottled water can be ordered through Frothy Bottom at $2.00 per guest or check with your caterer.
Ice
Frothy Bottom will provide sufficient ice to maintain the needs of all contracted bar services (ie: icing
down kegs, bottled beer, and wine, cocktail/mocktail drinking ice, etc). Unless contracted
separately Frothy Bottom will not bring ice necessary for non-contracted needs, such as nonalcoholic beverage stations provided by the caterer or host, buffet needs, etc. Unless ordered through Frothy Bottom before your event, extra ice can be ordered through Frothy Bottom at an additional cost. (Per pound costs for bulk ice can vary, let us know and we can quote ice for other services closer to your event date,)
Mobile Bar Requirements
All Frothy Bottom’s mobile bars require a flat surface to set up on, as well as sufficient clearance to
load and unload with our tow vehicle. The Millie Pearl Camper Bar and the Café Cushman also require access to electrical within 75 feet of the placement of the bar. If electrical is not available, an added fee of $150 for the provision of a generator will be added to the agreement and billed.
Glassware Rental Requirements
Hosts who rent glassware through their caterer, wedding planner, or individually must also staff
additional attendants to bus and rack glassware. Unless otherwise arranged Frothy Bottom will only
provide sufficient staff to make drinks and will not assume responsibility for bussing or racking
glassware unless rented directly through Frothy Bottom. Upon request, Frothy Bottom can add
additional staff to the agreement to manage glassware if the host rents glassware through another
source that does not provide staffing to clear and rack glassware. Furthermore, due to the Covid-19 mandates currently in Illinois, Frothy Bottom will only be using and providing single-use drinking cups.
Additional Staffing Requirements
Unless otherwise arranged, Frothy Bottom bartenders are responsible for setup, bar service during
contracted times, and breakdown of the bar only. In order to maintain service levels and ensure the
bar is always staffed; they cannot be expected to perform duties outside of those outlined in the
agreement.
If the host is providing their own non-alcoholic beverage station, they must arrange for additional
staff to attend and stock. Frothy Bottom will happily serve bottled or canned non-alcoholic
beverages from the bar that are provided by us or the hosts, if they would like it served directly from the bar.
Retainers & Final Payment
All retainers will be paid at a rate of 50% of the total bill at the time of booking. The remainder of the final bill must be paid in full no later than 65 days before your event, wedding, or party. We accept electronic payments and checks only.
Cancellations Due To Covid-19 Mandates
Frothy Bottom Reserves the right to cancel any event and offer a reschedule date if the event goes against current Illinois mandates concerning Covid-19 or any other public health disease or concern. If this happens and a rescheduled date cannot be reached within 6 months of the original contracted date, Frothy Bottom will refund all monies paid minus 20% to cover costs incurred with purchasing and planning your event beverage service.
Cancellation Policy
If you for any reason you cancel the event before 60 days before the contracted event date all monies minus 50% of the original retainer will be returned. All cancellations that occur 59 to 7 days before your contracted event date will be refunded at a rate of 50% of total contracted services. All cancellations that occur 6 to 0 days before your contracted event will have no refund.
Please note we will make every effort possible to reschedule your event, but it is up to you to contact us as soon as you possibly can with a new date or to inform us that you will need to reschedule. We will not guarantee your alternative date will be available, but we will make every effort to accommodate.
