Vybez Entertainment – Technical & Performance Requirements
To ensure Vybez delivers an unforgettable, high-energy performance at your event, please review and meet the following technical and logistical requirements. These apply to all bookings involving our dancers, aerialists, and brand ambassadors.
1. STAGING REQUIREMENTS
Performance Area:
• Minimum clear space: 20 ft x 20 ft (no obstructions, level flooring).
• Indoor/Outdoor: Stage must be covered and non-slip if outdoors.
• If aerial acts are booked: 15 ft ceiling minimum with rigging points (we can supply freestanding rig if needed).
• Pole & Lollipop Acts (X-Stage Setup):
• Surface must be flat, hard, and level — no carpet, soft ground, or uneven flooring.
• Minimum ceiling height: 10 ft for lollipop; 12–13 ft for pole is preferred.
• Allow at least 8 ft x 8 ft of unobstructed floor space for the base setup.
• No low-hanging fixtures, fans, or overhead rigging in the performance area.
• X-Stage must be set up indoors or outside, if outside must be under weather protection, and or weather has to be clear.
• Please inform us in advance of stairs, tight corridors, or elevators that may affect load-in.
Access & Setup:
• Direct, secure access from dressing room to stage.
• Stage must be fully set and safe for performers at least 2 hours before showtime.
• No audience access to stage or backstage areas.
Backstage Space:
• Private dressing area with:
• Mirrors
• Tables & chairs
• Clothing racks or hanging area
• Adequate lighting
• Climate controlled and large enough for quick changes if required.
2. LIGHTING REQUIREMENTS
General Lighting:
• Bright, even stage wash with no dark spots.
• Adjustable dimming for entrances and exits.
Performance Effects:
• LED color washes preferred.
• Intelligent/moving lights and strobes welcome (not required, but ideal for stage shows).
• Optional: Blackout function or spotlight for entrances and key features.
Lighting Tech:
• Must be available for pre-show tech run (30–60 minutes before doors open).
• Cue-based lighting preferred but not required for walk-around performances.
3. SOUND REQUIREMENTS
Sound System:
• Full-range PA system suitable for venue size and crowd.
• Crisp highs and deep bass needed for music-driven performances.
Music Playback Options:
• AUX (3.5mm), USB, XLR, or Bluetooth access.
• Sound operator must be available to control playback and cues (if applicable).
• Vybez can also bring playback devices and supply tracks in advance.
Sound Check:
• Minimum 30-minute tech check required, 1 hour before doors open.
4. COSTUMES & DRESSING ROOM NEEDS
Dressing Room:
• Private, secure space with:
• Lighting and mirrors
• Seating
• Access to restroom or water station
Quick-Change Area:
• If performance involves multiple costumes, provide quick-change curtain or pop-up space backstage.
Custom/Branded Looks:
• If branded attire or specific themes are required:
• Final design details must be confirmed at least 3 weeks prior to the event.
• Vybez can incorporate logos, colors, or themes upon request.
Wardrobe Support:
• Access to a garment steamer and electrical outlets preferred.
5. ADDITIONAL NOTES
• Hospitality: Bottled water and light snacks (e.g., fruit, bars, nuts, chips) for shorter events, provided lunch, and sodas for longer events.
• Parking: Reserved performer parking near venue entrance or load-in or parking vouchers for performers.
• Security: Backstage and dressing areas must be off-limits to guests and secure during the event.
• Rehearsal Time: Access to the stage for blocking and walk-through at least 1 hour before showtime.
6. MUSIC VIDEO & FILMED PERFORMANCE REQUIREMENTS
When booking Vybez for music videos, film shoots, or promotional content, the following conditions apply to ensure production runs efficiently and performers are safe, prepared, and camera-ready.
Pre-Production Requirements:
• Full creative brief, reference material, and mood boards must be provided at least 7 days in advance.
• Finalized shot list, choreography notes, and wardrobe direction due no later than 72 hours before call time.
• Location walk-through or virtual scout preferred if space will affect staging or movement.
Rehearsals & Blocking:
• Minimum 2–4 hours of in-person or studio rehearsal time must be scheduled ahead of shoot day.
• On-set rehearsal time for camera blocking, spacing, and lighting adjustments is required before takes begin.
Wardrobe & Styling:
• If Vybez provides wardrobe, requests must be submitted at least 1 month in advance.
• If the production is supplying wardrobe, sizes, fittings, and vision must be clearly communicated ahead of time.
• A designated wardrobe stylist or assistant should be available on set for touch-ups and changes.
On-Set Conditions:
• Clean, climate-controlled holding space for performers to rest, stretch, and prepare.
• Access to mirrors, water, snacks, and restrooms required.
• Hair & makeup artist should be present for continuity and camera-readiness (provided by client unless otherwise arranged).
Compensation & Credit:
• All rates and usage rights must be agreed upon in advance, including:
• Day rates, overtime, and travel if applicable
• Usage rights (e.g., YouTube, commercial, festival, social, etc.)
• On-screen or promotional credit for Vybez (if applicable)
Run of Day / Call Sheet:
• Final call sheet must be sent at least 24 hours before shoot.
• Please provide clear parking, check-in, and contact info for arrival.

Please assign a venue or AV liaison to coordinate with the Vybez production lead. We will provide:
• Cue sheets
• Music files
• Run-of-show outlines
• Any additional custom needs based on your event
