This document outlines the preferred setup to ensure the best possible experience for event hosts, attendees, and the speaker when Princess Paula delivers a keynote. These guidelines will help to curate a professional and engaging experience for everyone involved.

1. Room Setup
Audience seating should be arranged so that all delegates have a clear view of the presentation screen.

Acceptable seating configurations include:
Theater style seating
Classroom style seating with tables
Cabaret seating facing the screen

All delegates should be facing the screen at all times.

2. Audio Requirements
Handheld wireless microphone (preferred)
Sound system appropriate for the room size
Microphone tested prior to the presentation

3. Power Access
A power outlet near the speaking area or an extension cord available at the podium or speaker table.

4. Speaker Table or Podium
A podium, high-top table, or small presentation table should be placed near the speaking area.
This surface will be used for the speaker’s laptop, presentation materials, and props.

5. Presentation Screen & Visual Setup
Event host must provide projector and/or TV screen(s) visible to all delegates in the room.
An HDMI connection must be available for the speaker's laptop.
Paula will provide her own laptop and cables.
Because presentation files are often large, slides will typically be shared via a Dropbox download link rather than email.
Presentation slides and materials are the intellectual property of Princess Paula Consulting and may not be photographed, reproduced, copied, distributed, or shared without prior written permission.

6. Walk-On Music
If the event includes music cues, the following walk-on song is preferred and is available on Spotify or Apple Music for free.
Song: One Way or Another – Blondie
Start the song at the beginning immediately following the speaker introduction and cut the song once I reach the podium.

7. Event Support
Event organizer will provide at least one event staff member or volunteer to assist with distributing folders/handouts and swag prior to the presentation.

8. Pre‑Presentation Access
Please provide access to the presentation space at least 30 minutes prior to the scheduled speaking time for setup and audio/visual testing.

9. Audio/Visual Contact
Please designate one on-site contact responsible for audio/visual coordination on the day of the event and email me the name and contact information prior to day of event.
On site AV Support will be provided by the event team and on site during the event to support Princess Paula. Provide contact information for the AV team prior to the event, allowing Paula to confirm all specifications will be met. Additionally, when possible, Paula will meet the AV team on the day of the event in person for final preparation.

10. Recording
Please notify Princess Paula in advance if the event plans to record video, audio, or livestream the presentation. Prior authorization for recording is required. Recording, reproduction, or distribution of presentation materials without written permission is not permitted.
